At the European Association for the Development of Renewable Energies, Environment and Power Quality (EA4EPQ/AEDERMACP) that organize each year the International Conference on Renewable Energy and Power Quality (ICREPQ) and to publish the open access electronic Renewable Energy and Power Quality Journal (RE&PQJ), we value the trust you place in us by using our services and your privacy is very important to us. This is why we are committed to protecting all of the personal data that you give us when using our services.

We have drawn up this document explaining how we process your personal data so that you have all of the necessary legal information, know the legal basis on which we are processing your data, and are aware of your rights to protect it. Please read our Privacy Policy carefully and, if you have any questions about how we use your personal data or what we use it for, you can contact us using the details listed below.

If you have already used our services, you will be aware that we only offer online services through our website. All of the information given below applies to this platform and to any type of data that we collect through them or through other digital media (for example, when you send an email to our secretary).

Please be aware that we may modify the Privacy Policy at any time. Therefore, to ensure that you are always fully aware of what happens with your personal data, please check this page frequently. But do not worry! If we make changes that affect you in any way, we will let you know in advance.

What type of personal data does EA4EPQ/AEDERMACP collect?

To help you complete and manage your ICREPQ registration we need you to give us certain data. This data consists of basic information such as your first name and surname, your country of residence, address, reference of your paper(s) and your email address, as well as your invoice details. We may also need you to provide some additional data so that we can provide additional support during your participation at the ICREPQ, for example, if you want to have the optional conference dinner, if you have an Accompanying Conference Participant that we should take into account. Likewise, we may use records of your previous ICREPQ attendances to better personalise your participation.

If you make a booking not only for yourself but for other people too (your partner, a relative, or a friend, for example), you will need to give us their details too. In this case we will deem you to have informed them about how we process our customers' personal data (according to this Privacy Policy) and we will deem them to have agreed to you providing us with their data.

If you need to get in touch with us, you can contact our customer services team by email, by telephone or through other means, such as social media. When you do so, we will collect personal data such as your name and contact details so that we can respond to your request. When you contact our secretariat by telephone, we may record your conversation so that we can listen back to it in order to manage your query or monitor the quality of our service.

Other parties may also send us data about your orders, and therefore about you. This happens, for example, when you book our services through your university, other institution or company. 

How do we process the data of minors?

The services we offer are not aimed at people under the age of 14. Under-14s may only use our services with a parent or guardian's consent.

Why do we collect and use your personal data and what is the legal basis?

The main reason that we ask for your personal data is to help you purchase your ICREPQ registration and offer you the best service possible. Where we believe it will be of interest to you, and provided that you have given your consent, we may also use your personal data to let you know about discounts and special offers.

In any case, the legal basis on which we process your data will vary depending on what we are using the personal data you have given us for. More specifically, we may process your data for the following reasons:

a) Legitimate interest:

On the one hand, we need you to provide us with your data and we need to process it in order to provide help when you request it, as well as to respond to your suggestions, complaints or any claims you may make. As already mentioned, we have a Secretariat that you can contact by email and telephone to answer your questions.

If you have booked a registration at ICREPQ, we will contact you to:

(i) Send you information about your booking, such as information about the services you can book through us for the conference or information about the city where the ICREPQ will take place, cultural or technical visits, excursions or transport. We do this because we think it may be useful to you when planning your attendance to the ICREPQ.

(ii) Send you a questionnaire so that you can give us feedback on your experience with the ICREPQ conference, in particular about how we treated you.

(iii) We may also send you any type of message about the status of your booking, or information you need to know about the ICREPQ conference.

(iv) Since we believe it may be of interest to you, we will use your contact details to send you news about our conference and services. We will use the personal data that you have given us, as well as the data about your purchases with AE4EPQ/ AEDERMACP, to personalise the offers we send you. Of course, if you no longer want us to send you these messages you can unsubscribe quickly and easily by email at any time.

As already mentioned, in these cases we consider that we have a legitimate interest in using the data you give us, and above all that using this data does not harm your privacy.

b) Compliance with the contract:

On the other hand, we also need to process your data to book your ICREPQ registration, as well as to manage any bookings you have already made. Likewise, if your booking changes we also need to process your data, for example by sending a text message or email about the status of the conference, as well as notifications about any kind of incident affecting your attendance. If we do not process this data we cannot complete your booking or provide you with the service you have purchased. 

c) Compliance with a legal obligation:

There will also be times when we need to process your data to comply with certain legal obligations. This is particularly important when a government authority, law enforcement agency or security force in any country where we operate requires us to provide your data, for example to protect against fraud or other illegal activities. To this end, the data we process may include your name, address, email address, IP address and payment details.

d) Consent:

 There will be some questions that are not necessary in order to fulfill the registration or the booking that you have made with us, that are not legally required, or for which we do not have a legitimate interest. In these cases, we will need your consent before we can do anything. If you consent, we will let you know in detail why and how we want to use your data. This is the best way of you controlling what we do with your data at any time, and of you being the one who decides how we can process it.

For example, this may happen when you register as a user on the ICREPQ website. We will use this data to administer your account, log you in to our website as a user and send you information that may interest you about our latest news (for example, newsletters).

In the event that you do not complete the booking process for your registration on our website and you have given us your consent, we may contact you to remind you that you can continue with your booking and to send you news about the next editions of the conference and services that are related to your search. We believe that this service will benefit you and will allow you to planning to attend to another edition of the ICREPQ. 

Will EA4EPQ/AEDERMACP share your personal data with anyone?

When we collect your personal data, we are the entity that is legally responsible for collecting, using, story and, where appropriate, deleting your personal data. For this reason, as a general rule we will only use your data within EA4EPQ/ AEDERMACP and we will not share it with anyone else, except where necessary for providing the service you have booked and in accordance with the terms and conditions of this Privacy Policy.

However, as we have explained, there may be occasions when we are legally obliged to communicate, for example, with government authorities or the courts. We may also share your data when you have expressly consented to this or when we have a legitimate interest. We therefore want you to know that, in order to provide you with our services, we may share your data with the following third parties for the purposes described in this Privacy Policy:

  • Service providers needed to carry out our business, for example, telephone support services and email marketing services that help our marketing team to carry out customer satisfaction surveys and design targeted marketing campaigns.
  • Government authorities, law enforcement agencies, security forces, in accordance with the legal requirements.
  • Courts in all of the countries in which we operate to guarantee our legal rights regarding our contract with you, as well as our legal advisors and other professional consultants.

We wish to clarify that we enter into a contract with them to ensure that all of the appropriate measures to protect your personal data are applied.

Lastly, we wish to inform you that the transfer of personal data in accordance with our Privacy Policy may include the transfer of data outside the European Economic Area and, as such, to countries whose data protection laws are not as extensive as those of European Union member states. We want to ensure that your personal data continues to be protected in accordance with European standards, which is why we enter into contractual agreements where necessary to ensure compliance with these standards.

How does EA4EPQ/AEDERMACP use social media?

If you register as a EA4EPQ/AEDERMACP user through accounts created on certain social networks, this will allow us to collect certain personal data or will allow the social network provider to receive some of your data. If you agree, we may also use some of the tools provided to us by this type of service provider to send you adverts.

At EA4EPQ/AEDERMACP, we mainly use social media to promote our services with the aim of making it easier to use they. For your convenience, we allow you to register as a user on our website through one of your social media accounts. In this case, the social media service provider will share certain information with us (mainly names and surnames, email addresses and your photo) so that we can identify you as a user. We may also use some of the tools provided to us by this type of service provider to interact with you through this platform. How long will we keep your personal data for?

We will retain your personal data for the period that is necessary to comply with your request, or while we have your consent. Once this period is over, we will retain your data, and keep it blocked, for the legally established time.

However, you should bear in mind that the law obliges us to store this data for an additional period, in particular to respond to any claims.

What can you do to control the personal data that you have given EA4EPQ/ AEDERMACP?

What are your rights? How can you exercise them?

The law grants you a series of rights that you should understand and that you can exercise to protect your privacy. In this respect, you have the right to:

  • Confirm whether or not EA4EPQ/AEDERMACP is processing your personal data and, if so

(a)  to (a) access it, (b) ask for it to be rectified if you believe it to be inaccurate or, where applicable, (c) ask for it to be deleted when, among other reasons, you deem it to no longer be necessary, bearing in mind the reason for which you provided it.

          1. In certain circumstances, you may also ask us to limit our use of your data or even object to our continued use of your data. In this case we will stop using it, except for compelling legitimate reasons or to pursue or defend any claims.

     2. If we use your personal data for behavioural profiling (for example, to better understand your interests and needs based on the way you browse     our website), and we do so in a fully automated manner, you have the right to be informed of this processing, to ask for any of our agents to intervene personally, to challenge any decision based on these profiles or to simply express your point of view.

     3. You also have the right to request data portability. If you make a data portability request, we will send the data you have given us directly to you or to a third party that you have indicated, in a commonly used and machine readable format.

     4. Of course, you have the right at any time to withdraw the specific consents to use your personal data that you have granted us.

          5. Lastly, you may file a complaint against EA4EPQ/AEDERMACP and/or the Agencia Española de Protección de Datos (as the competent authority for data protection), in particular, when you have exercised a right and we have   failed to respond in accordance with the law.
